Here’s a glossary of onboarding terms written especially for new employees to help you understand the process, key terms, and what to expect as you settle into your new role.
Applicant Tracking System (ATS)
An Applicant Tracking System, or ATS, is software that companies use to keep track of applicants and new hires. It organizes applications and helps HR manage the hiring process, so if you received emails about your interview, they likely came through the ATS.
Buddy System
The Buddy System pairs you with a current team member who can answer questions and help you get familiar with your new role. Think of your buddy as your go-to person for learning how things work day-to-day.
Compliance Training
Compliance Training is mandatory for all new employees and covers essential policies, rules, and regulations. This training helps keep everyone safe and ensures that employees understand the company’s legal and safety requirements.
Corporate Culture
Corporate Culture is the shared values, attitudes, and practices that define how employees work and interact. Learning about your company’s culture helps you understand the behaviors, values, and overall vibe of your workplace.
Employee Handbook
The Employee Handbook is a guide that covers all the important policies, benefits, and expectations at the company. It’s a valuable resource if you have questions about your role, workplace policies, or company benefits.
Employee Orientation
Employee Orientation is usually one of your first onboarding sessions. It introduces you to the company’s mission, policies, and sometimes even includes a tour. Orientation helps you get a broad overview of how the company operates.
Goal Setting
During your first few weeks, you’ll likely set some short-term goals with your manager. These goals help you focus on important tasks and get on track with what’s expected in your new role.
HRIS (Human Resource Information System)
The HRIS, or Human Resource Information System, is an online platform where you can access important HR information. This might include your benefits, pay, time-off requests, and personal information.
Icebreakers
Icebreakers are fun activities or questions that help you get to know your coworkers and feel more comfortable. These may come up during meetings or orientation to help everyone bond and start conversations.
Job Shadowing
Job Shadowing is when you spend time observing a coworker to learn more about your role. It’s a hands-on way to see how certain tasks are done and get comfortable with the work environment.
Knowledge Transfer
Knowledge Transfer is when experienced employees share important information, skills, or tips with new hires. This can be part of training or happen informally as you learn from others around you.
Learning Management System (LMS)
A Learning Management System, or LMS, is a platform where you can complete online training and courses. Your LMS account may include courses on skills, company policies, or certifications relevant to your job.
Mentor
A Mentor is someone assigned to guide you as you settle into your role. Mentors help answer questions, give career advice, and share insights about the company. They’re there to support your growth and help you succeed.
Onboarding
Onboarding is the entire process of getting settled into your new role. It includes things like orientation, training, meeting your team, and learning your daily tasks. The goal is to help you feel comfortable and prepared in your new position.
Pre-boarding
Pre-boarding is what happens after you accept your job offer but before your first day. During pre-boarding, you may receive paperwork to fill out or information to review so you’re ready to go on your first day.
Probationary Period
The Probationary Period is a short period (often 90 days) at the start of your job where both you and the company see if it’s the right fit. It’s a trial period to make sure you’re comfortable with the role and meeting expectations.
Role-Specific Training
Role-Specific Training is training that’s focused on teaching you the skills and tasks specific to your job. This part of onboarding is all about learning how to do your day-to-day work effectively.
Soft Skills
Soft Skills are interpersonal skills like communication, teamwork, and time management. These skills help you work well with others and manage your time, and are often part of training.
Team-Building Activities
Team-Building Activities are exercises or events designed to help you get to know your coworkers and work together better. They may happen as part of onboarding to help you connect with your team.
Training Needs Assessment
A Training Needs Assessment is a quick review to see what skills or training you might need to succeed in your role. This helps make sure your onboarding includes any specific training that would be useful for you.
